Southwest Pulmonary Associates, with locations in Dallas and Plano, Texas, has been a trusted part of the community for over 30 years. Our experienced team is dedicated to providing continuity of care in both inpatient and outpatient settings, ensuring that patients receive expert support every step of the way. 

About the Role

The Patient Service Representative assumes a pivotal role in our practice relating directly and indirectly to patient satisfaction and to the ultimate success of the clinic. Given the integral nature of the position, the front office medical assistant’s demeanor must be reflective at all times of the highest quality standards of professionalism exemplified by Southwest Pulmonary as a division of Sound Physicians. This role will serve as both the first and last point of contact for or patients.

The perfect candidate must be a team player, highly motivated and demonstrate a positive attitude. This individual will assist in checking patients in/out, collecting copays, verifying benefits, scheduling procedures, answering phones, scheduling appointments and other duties as assigned.

The Details:  Full-Time, 100% In office: Mon-Fri,  8am-4:30pm/5pm, Dallas, TX 75231

In this role, you will be responsible for:

  • Answering and triaging incoming calls 
  • Scheduling patient appointments
  • Taking messages and routing to appropriate physician
  • Ensuring patient messages are addressed by the end of each day
  • Paging calls to physicians when necessary
  • Preparing patient charts for upcoming appointments
  • Confirming appointments with patients a week in advance
  • Assisting anyone who approaches the front desk – patients, vendors, etc.
  • Verifying insurance and obtaining referrals if needed
  • Checking patients in/out
  • Printing demographic update sheet on all scheduled patients
  • Verifying patient information is accurate and up to date
  • Collecting co-payments and outstanding balances at point of visit
  • Forwarding pre-certification requests to Medical Assistant
  • Entering data for Daily Batch
  • Printing and working no-show and cancellations list weekly
  • Initiating correspondence to outside physicians regarding no-shows and cancellations
  • Overseeing coordination of daily tasks
  • Serving as point of contact for patient escalations
  • Scheduling luncheons with Durable Medical Equipment (DME) representatives
  • Sorting and distributing faxes and mail as needed
  • Scanning and indexing new patient records and medical records as designated
  • Other duties as assigned

Knowledge, Skills, and Abilities

  • High school diploma, or equivalent and two years of healthcare experience
  • Knowledge of medical practice and care and insurance plan payers
  • Knowledge of physician business procedures and medical terminology
  • Knowledge of front office customer service levels
  • Knowledge of medical equipment and instruments

Education and Experience

  • 2 years’ experience in a medical office setting
  • Electronic Health Record (EMR) experience
  • Proficiency in the operation of a computer and other office equipment
  • Skill in identifying and resolving problems
  • Ability to use good reasoning and judgment and react calmly in emergency situations
  • Ability to establish and maintain effective working relationships with patients, co-workers and vendors
  • Ability to read, write and communicate effectively with oral and written correspondence
  • Ability to exercise a degree of initiative and judgment

Pay Range

  • $18.00-$20.00 hourly. Exact pay will be determined based on candidate experience, geographical location, and size/complexity of the program being supported.
