About the Role
This detail-oriented and highly organized position supports the seamless integration of new hires into our organization, providing a best-in-class onboarding experience. In this role, you will work with multiple systems such as UKG and Salesforce to manage and facilitate the completion of pre-boarding paperwork and ensure all new hire data is accurately entered into our HRIS system. You will serve as a primary point of contact for cross-functional teams during the pre-boarding phase and ensure these teams and new hires have the information and tools they need to begin their employment journey with us. This role is critical to ensuring a positive first impression and smooth start for new hires, which supports overall retention and engagement.
The Details: This is a temporary role anticipated to last approximately 6 months. This is a virtual, work-from-home opportunity.
In this role, you will be responsible for:
- Partnering with multiple cross-functional teams, such as our clinical site onboarding team (Sound Board), Regional and Site Operations, People Operations and Recruiting to ensure appropriate information is accurately gathered and entered for each newly hired colleague
- Supporting onboarding activities for new business, working closely with the Implementations team to ensure timelines are met for high-volume, quick turnaround hiring.
- Utilizing UKG (UltiPro), Salesforce, and other platforms to gather and input new hire data, track document completion, and maintain accurate records. Monitoring and updating employee profiles to ensure consistency across all systems.
- Interpreting employment agreements to determine employment type, benefits packages, salary and more.
- Coordinating the collection and completion of all pre-boarding documents (e.g., tax forms, employment contracts, etc.) for new hires. Ensuring timely submission and compliance with company policies and federal guidelines.
- Ensuring completion of I-9 documents in compliance with federal and company guidelines.
- Sending information, documents, and directions for completion directly to new hire, which varies based upon position type.
- Responding to inquiries and guide new employees through the onboarding process through FreshService, our People Support Case Management System.
- Contacting New Hire and/or various cross-functional teams for progress updates toward activity completion necessary to complete the onboarding process
- Assisting with data gathering/reporting on onboarding activity and statuses, or other HR-related information, as required
- Handling sensitive employee information with the utmost confidentiality and ensure all actions comply with company policies
- Managing multiple e-mail boxes

Knowledge:
- High School Education or equivalent
- Strong proficiency in HRIS systems (experience with UKG, Salesforce, or similar platforms is a plus).
- Familiarity with case management systems like FreshService.
- Comfort with learning and adapting to new tools or systems as needed.
Experience and Competencies:
- 1–2-years’ experience in an HR, recruitment, or administrative role, with a focus on onboarding or employee data management
- 2+ years working with MS Office Platforms (Outlook, Teams, Excel, etc.)
- Data Entry Proficiency: Strong data entry skills, with a focus on accuracy and speed.
- Communication Skills: Effective written and verbal communication skills, with the ability to respond to employee inquiries in a clear and professional manner.
- Time Management: Ability to prioritize tasks, manage workload, and meet deadlines in a fast-paced environment.
- Confidentiality: Demonstrated commitment to maintaining confidentiality and handling sensitive employee information with discretion.
- Must have a reliable internet connection and a dedicated workspace conducive to maintaining confidentiality
Pay Range: $25-28/hour. Exact pay will be determined based on candidate experience and geographical location.
